    Ce que vous ferez

    Relevant du Chef régional — Coordination de projets, vos responsabilités comprendront, sans s’y limiter, l’assistance aux gestionnaires de construction et aux gestionnaires de projets pour la coordination et la documentation, la commande d’équipement pour les projets d’installation, ainsi que diverses tâches administratives quotidiennes liées à l’alarme incendie, à la suppression et aux gicleurs.

    Comment vous le ferez

    • Soutien administratif des opérations : téléversement et tenue à jour des projets et contrats via Job Design/BBI.
    • Suivi de l’état d’avancement des projets (alarme incendie, suppression, gicleurs).
    • Communication avec les clients et les représentants des ventes concernant les besoins en matériel et/ou en main-d’œuvre.
    • S’assurer que l’ingénierie requise est effectuée afin de répondre aux attentes du client.
    • Coordonner avec le superviseur TIS et/ou le gestionnaire de construction les besoins en main-d’œuvre du client.
    • Passer les commandes d’équipement et s’assurer que le client reçoit le matériel en temps opportun.
    • Informer les gestionnaires de département de l’état des projets.
    • Traiter les ordres de changement, libérer l’équipement, classer les certificats d’assurance et les lettres de garantie.
    • Effectuer la facturation des projets et compiler les pièces justificatives (paie certifiée, billets de travail, etc.).
    • Gérer les différends avec les clients ou les contrats, au besoin.
    • Coordonner la livraison de l’équipement sur le chantier.
    • Coordonner la remise des documents de clôture.
    • Créer les bons de commande pour les sous-traitants.
    • Procéder à l’approvisionnement et à la vérification des échéanciers des projets.
    • Participer aux réunions d’avancement des travaux.
    • Suivre les demandes d’information (RFI), les ordres de changement et autres documents pertinents.
    • Assurer la coordination et les suivis avec l’équipe des ventes concernant les réservations de projets, la libération des travaux du COE, les retenues de crédit, etc.
    • Soutenir les comptes clients (AR).
    • Servir de point de contact pour le partage d’informations entre OTC, le district et certains clients, selon les directives de l’ACSM.
    • Appuyer la résolution des différends lorsque demandé par les agents de recouvrement AR ou l’équipe de résolution.
    • Contacter les clients lorsque requis dans le cadre du DMS ou pour des raisons simples.
    • Responsable des comptes fournisseurs.
    • Responsable de la configuration des nouveaux fournisseurs.
    • Entrer les heures / effectuer la paie pour l’équipe terrain et les gestionnaires de projets.
    • Effectuer les transferts de coûts.

    Profil recherché

    Exigences

    • Maîtrise de Microsoft Windows, Word, Excel et PowerPoint.
    • Connaissance de ACE, OAsys, Job Cost Systems.
    • Permis de conduire valide avec bon dossier de conduite.
    • Diplôme d’études secondaires (DES) ou équivalent.
    • Capacité à gérer plusieurs tâches et à établir des priorités tout en respectant des échéances strictes.
    • Excellentes aptitudes en communication orale et écrite.
    • Doit être organisé, minutieux et autonome.
    • Doit réussir une vérification des antécédents préemploi.
    • Attitude positive, ponctualité et sens des responsabilités.
    • Expérience en service à la clientèle.
    • Bilinguisme français et anglais obligatoire.

    Atouts

    • Diplôme d’études collégiales (DEC) ou équivalent.
    • 3 à 5 ans d’expérience pertinente.
    • Expérience dans un environnement à volume élevé et axé sur le service à la clientèle.

    What you will do
    Reporting to the Regional Lead Project Coordinator, responsibilities include but are not limited to assisting the Construction Managers and Project Managers with coordination/ documentation, ordering of equipment for Install base projects including day-to-day general office duties as assigned for fire alarm, suppression and sprinkler.


    How you will do it

    • Operations Administrative Support uploading and maintaining Projects and Contracts via Job Design/ BBI
    • Monitor the status of projects (fire alarm, suppression, sprinkler) 
    • Communicate with customers and sales reps as to when material and/or labor is required
    • Ensure that the required engineering is performed to meet customer expectations
    • Coordinate with TIS supervisor and/or the construction manager the customer’s labor requirements
    • Order equipment, and ensure that the customer receives the material when needed
    • Report to department managers on project status
    • Process change orders, releasing equipment, filing Certificate of Insurance, and Warranty Letters
    • Billing of projects; compiling back-ups such as Certified Payroll, work tickets etc.
    • Handling customer/ contract disputes as needed
    • Coordinate the delivery of equipment to the job site
    • Coordinate delivery of close-out documents
    • Creation of purchase orders for subcontractors
    • Procurement and verification of project schedules
    • Attend work-in-progress meetings
    • Tracking of project RFI’s, change orders and other pertinent documentation
    • Coordination/ Follow Ups with Sales Team in regard to project bookings, releasing of jobs from COE/ Credit holds etc.
    • Assist with Accounts Receivable (AR)
    • Act as the facilitator and point-person for information sharing between OTC, District, and select customers as directed by ACSM
    • Support Dispute Resolution in resolving disputes when requested by the AR Collectors or the Dispute team
    • Contact customers when identified as necessary as part of DMS or for very simple reasons
    • Responsible for accounts payable
    • Responsible for new vendor set up
    • Time entry / payroll for field crew and project managers
    • Cost transfers

    What we look for
    Required

    • Proficient in Microsoft Windows, Word, EXCEL, Power Point.
    • Knowledge of ACE, OAsys, Job Cost Systems.
    • Valid driver's license with a good driving record
    • High School diploma or equivalent
    • Ability to multi-task and prioritize among assignments with a strong adherence to deadlines
    • Excellent verbal and written communication skills
    • Must be organized, detail-oriented and self-motivating.
    • Must Pass a pre-employment background check
    • Positive Attitude, Punctual and Accountable
    • Experience dealing with customers 
    • Must be Bilingual in English and French.

    • Associate's Degree preferred 
    • 3 to 5 years of related experience
